Team Assistenz - Administrative Coordinator (gn)
Responsibilities:
- Coordinate team events for both regional and global departments.
- Manage on-site catering services and schedule meeting rooms.
- Oversee shared desk reservations and office badge distribution.
- Handle onboarding and offboarding for team members, ensuring all necessary equipment, access, and documentation are prepared.
- Administer travel arrangements and expense reports.
- Carry out administrative and organizational tasks related to the department, such as issuing training protocols and collecting signatures in a timely manner.
- Ensure adherence to Company Security policies and procedures (e.g., badge administration, access control, guest logs etc.) and work with Global Security
Operations Centre (GSOC) to provide support and information as required - Represent regional Facilities team and ensure implementation of support programmes
and procedures required. Act as liaison between Facilities and support vendor(s). - Log and track Facilities work requests using CAFM system and coordinate local projects
and initiatives as required - Perform compliance-related tasks such as Health & Safety, cleaning, and maintenance
inspections. Liaise with cleaning staff to ensure high service levels
- Educational background in Business Management, such as a certified business expert or certified business economist, or an equivalent qualification.
- At least 2 years of experience in business management roles within mid-sized to large international companies, governmental bodies, or associations.
- Proficiency in standard business software applications, including Microsoft Office and ERP systems like SAP.
- Experience in the pharmaceutical industry.
